1. Scope and responsibility
This Privacy Policy explains how Owl3D handles personal information in connection with the Owl3D desktop Software and its software-account, sign-in, licensing, billing, support and related services. Owl3D is responsible for the processing it determines for these services, including processing carried out on its behalf by service providers.
Our Software Terms of Service and End-User License Agreement govern permitted Software use and license rights. This Privacy Policy describes information handling. Acknowledging this policy is not blanket consent to processing that requires a separate choice or consent under applicable law.
Purchases and browsing through our Shopify store are also subject to the store Privacy Policy. Store-specific cookies, advertising and shopping practices do not automatically describe the desktop app. Where a transaction connects the store and a software account, each notice applies to the activities within its stated scope.
2. Your media stays on your device
The Software processes the videos, images, screen content and other media you choose to use with it locally on your device. We do not collect that content or the resulting Outputs from your device for cloud processing, storage, product analytics or model training.
Product-use analytics and diagnostic reporting do not authorize collection of the media or screen content you process or the resulting Outputs. We do not use your private media for model training.
If you deliberately send information to support, we receive the information you choose to provide for that support interaction. This is separate from automatic collection by the Software and does not authorize ongoing access to your device or collection of your media. Please avoid sending unnecessary sensitive information in a support request.
Local media processing does not prevent necessary communications for account sign-in, entitlement verification, payments, downloads or updates, or the product-use analytics described below.
3. Information we process and its sources
Account and authentication information. All Software account sign-ins are handled through Auth0. We use the account identifiers and authentication records needed for sign-in, account logging and audit-related purposes. Records relating to your account entitlement identify the Software rights assigned to that account. Using Auth0 does not transfer Owl3D's responsibility for its own account-data practices to Auth0.
Product-use analytics. We use Amplitude to understand how product features are used and to improve the product. These records concern interaction with the Software and exclude the media and Outputs described in section 2. You can disable analytics in the app's system settings, as described in section 5.
Technical diagnostics. We use Sentry for error reporting and technical diagnostics to investigate software problems and improve reliability. These records remain subject to the local-content restrictions in section 2.
Transactions and billing records. Stripe and PayPal provide payment services. The provider used for your transaction processes the payment information supplied through its payment flow. We use the associated transaction and entitlement records to administer your purchase, confirm paid access and maintain billing and audit records. The payment provider's own notice describes any processing it independently determines, such as its payment-compliance obligations.
Support communications. We receive the information you send when contacting us and use it to respond to your request and maintain records reasonably needed to resolve and document the interaction.
The sources are you, your interactions with the app and its account services, and the providers operating those services. We do not treat analytics as anonymous merely because a record does not contain a person's name.
4. Purposes and legal bases
We use account information for account authentication, logging and audit-related needs. We do not sell account information, rent it, or use it for advertising. Payment and support information is used for the transaction or assistance you request and the records reasonably necessary for those activities. Product-use analytics is used to understand and improve the product; technical diagnostics is used to investigate faults and improve reliability.
Where data-protection law requires a legal basis, we use the following bases to the extent they apply to the particular processing:
- Providing the requested service: processing objectively necessary to create and authenticate an account, provide a purchased entitlement, administer payment or respond to a contractual support request.
- Legitimate interests: proportionate account security, logging, auditing, fraud prevention, fault investigation and protection or defense of legal rights, where those interests are not overridden by the individual's interests and rights. Where consent is not legally required, product-use analytics relies on our interest in understanding product use and improving the Software, subject to that balancing requirement and your analytics choice.
- Legal obligations: records or disclosures necessary to meet applicable tax, accounting, regulatory or other legal requirements.
- Consent: analytics or other processing for which applicable law requires consent. We obtain the required consent before that processing and provide a way to withdraw it. An opt-out setting alone does not replace legally required prior consent.
We do not use the description of a legal basis to expand the purposes disclosed here. If we propose a new purpose, we will provide the required notice and establish the appropriate legal basis, including obtaining consent where required, before beginning it.
5. Your analytics choice
You can disable analytics within the Owl3D app's system settings. Turning analytics off disables both product-use analytics sent to Amplitude and error and diagnostic reporting sent to Sentry from the app.
The setting does not itself delete your software account or end your subscription. When you choose to sign in, make a purchase or contact support, information still needs to be processed to carry out that interaction, including necessary authentication, transaction and audit records. Disabling future collection is separate from requesting deletion of information previously collected; you can request deletion by emailing support@owl3d.ai, as described in sections 7 and 9.
Any required consent must be freely given and capable of withdrawal. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal. Applicable rights to object to processing on other legal bases are described in section 9.
6. Providers and disclosures
We use the following providers for the Software and related account services:

We do not sell or rent your account information to third parties. Providers receive information needed to perform their service roles; that processing is distinct from selling account data. We do not permit providers acting on our behalf to use the information for their own unrelated advertising. A provider may separately act on its own legal responsibilities for particular activities, such as payment regulation, as explained in its applicable notice.
We may disclose information where reasonably necessary to comply with valid legal requirements, respond to lawful process, protect against fraud or unlawful access, or establish, exercise or defend legal claims. These purposes do not authorize us to collect media that remains on your device under section 2.
If the relevant business is reorganized or transferred, account and service records may be transferred as needed to continue providing the service, subject to applicable law and privacy obligations. Such a transfer does not authorize an unrelated sale of account records or new advertising uses. We will provide any required notice of a change in the responsible organization.
7. Retention and deletion
We retain personal information only for as long as it is reasonably needed for the purposes described in this policy or as required by applicable law. We use the following criteria:
- Account, authentication and entitlement information is retained as needed to operate and protect the account and verify its rights, including a continuing lifetime entitlement.
- Security and audit records are retained for a proportionate period needed to detect and investigate misuse, document access and resolve identified issues or legal claims.
- Product-use analytics and diagnostics are retained while reasonably needed for product analysis, investigation of relevant faults and verification of improvements. Information no longer needed in identifiable form is deleted or de-identified so it can no longer reasonably identify a person.
- Payment and transaction records are retained for the applicable accounting, tax, payment-dispute and other legal requirements.
- Support records are retained as needed to resolve and document the request and address related disputes or obligations.
You can request deletion of your personal information by emailing support@owl3d.ai. After any reasonably necessary identity verification, we will delete the personal information covered by your request and arrange deletion by providers processing it on our behalf, subject to limited exceptions permitted or required by applicable law. These can include records needed for legal obligations, a relevant security matter or the establishment, exercise or defense of legal claims. We will explain any applicable exception and respond within the time required by law. We do not retain information merely for product analysis after a valid deletion request where no lawful exception applies.
Requesting deletion of an account can affect our ability to authenticate you and provide account-based entitlements. We will explain material consequences and available options before carrying out deletion that would remove access. A privacy request does not itself cancel a recurring subscription; subscription cancellation is handled as described in the Software Terms, without limiting any cancellation request you also make.
8. Storage and international processing
We store account information using AWS and Auth0. The other providers listed in section 6 may process and store the information needed for their respective services. This refers to account and service information; your locally processed media remains subject to section 2.
Depending on the services involved, personal information may be processed outside your country of residence in countries where Owl3D or its providers operate. The requirements of this policy continue to apply to processing carried out on our behalf.
Where applicable law restricts an international transfer, we will make that transfer only on a legally permitted basis and ensure that the required safeguards are in place. Depending on the transfer, this may involve an applicable adequacy decision or approved contractual safeguards, such as the European Commission's Standard Contractual Clauses and the corresponding UK arrangements where required, together with any necessary additional measures. You may contact support@owl3d.ai for information about the locations and safeguards applicable to your information and to request a copy or explanation of relevant safeguards.
9. Privacy requests and rights
Contact support@owl3d.ai, with “Privacy request” in the subject if convenient, or write to the mailing address above. You do not need to use that subject line or a particular form to exercise a legal right. We may request information reasonably necessary to verify your identity and protect your account before acting on a request.
Depending on the law that applies and the circumstances, you may have rights to access information about you, obtain a copy, correct inaccuracies, request deletion, restrict processing, obtain a portable copy or withdraw consent. These rights can be subject to lawful limitations, including the limited retention needs described in section 7. We will respond within the applicable legal time and explain any lawful refusal or limitation and available challenge process.
Right to object: where applicable, you may object to processing based on legitimate interests on grounds relating to your situation. We will assess the objection under the applicable legal standard. You may object to direct marketing where that right applies; this does not mean the Software uses account information for advertising.
Where applicable law allows an authorized agent to submit a request, we will accept it subject to lawful authorization and verification requirements. We do not penalize you for exercising privacy rights. You may complain to the data-protection authority with jurisdiction over your complaint, including the authority in your country of residence where the law provides that right. Contacting us first is not a condition of a right to complain to a regulator.
10. Security and account protection
We use safeguards appropriate to the information and the risks, including the security controls of the providers involved in authentication and service delivery. No system is completely secure. Keep your sign-in credentials secure and contact us if you believe an account has been compromised.
Where an incident triggers notification obligations, we will provide the notices required by applicable law.
11. Children and automated processing
Use of the Software is subject to the legal-capacity requirements in the Software Terms. If you believe a child has provided personal information without an authorization required by law, contact us so we can investigate and take the action the law requires. This paragraph does not authorize collection from children in circumstances where additional protections or consent are required.
The AI media conversion described in this policy takes place locally on the device. It does not by itself describe profiling of account holders or automated decisions about their legal rights. If our account services use solely automated decisions that produce legal or similarly significant effects, we must provide any required information about the process and available safeguards. Routine authentication and entitlement checks remain subject to the purposes and rights described above.
12. Changes and contact
We may update this policy to reflect changes in the services, practices or law. We will update its date and provide notice appropriate to the significance of the change and the applicable legal requirements. When a new practice requires consent, we will obtain it before beginning that practice. Posting a revised policy does not itself create consent or override a binding commitment in the Software Terms.
